Position Summary 

As the Operations Administrator, in addition to working in a progressive and dynamic environment, you will be responsible for providing customers with after-sales product warranty support, coordinating customer loans, and supporting outsourced manufacturing activities. 

Responsibilites

Some of the job functions of this role will be:

  • Responding to customer after-sale product support requests
  • Customer complaint handling and resolution
  • Liaising with internal and external stakeholders (other departments within the Operations team, technical support, engineering, subcontractors and external customers)
  • Verification of customer product warranty status
  • Issuance of customer product return authorizations
  • Validation of product return receipts and discrepancies
  • Review and fulfilment of customer loans
  • Coordination of material availability to support outsourced production and repairs (including warehouse transfers)
  • Creation and maintenance of manufacturing and repair work orders in ERP system and follow-up
  • Processing of billing invoices
  • Preparation of customer return shipments and customs documentation (import and export) through Matrox hubs
  • Raw material inventory management in consigned and RMA warehouses
  • Management of non-conforming products and components
  • Coordination of inventory cycle counts at subcontractor sites, including reconciliation and resolution
  • Preparation of customer RMA reports

Qualifications

  • A university degree (preferably in Operations or Supply Chain Management);
  • Strong communication, organizational and multi-tasking skills with an attention to detail;
  • Initiative taker, demonstrates critical thinking and problem solving aptitudes
  • A customer-focused attitude and team player;  
  • A good working knowledge of Microsoft Office tools (Word, Excel, PowerPoint, Visio);
  • Previous experience in customer service is an asset;
  • Knowledge of As400 is an asset;
  • Excellent English communication skills (both written and verbal), functional in French;
  • Expected to function in hybrid structure combining telework (WFH) and in-office presence.
